What is accounting firm IT support?

Backups follow the 3-2-1 rule and are immutable for 30 days, so no one can change or delete them early. An offsite copy is kept in Vancouver, and we test restores.

Servers run on Hyper-V with RAID 10 storage, so a single drive failure doesn’t stop the firm. If the server itself fails, we restore it in under 2 hours.

Caseware working papers slow or offline?

Caseware Cloud has a two step sign in setting for firms, which is off by default. Someone has to turn it on.
TaxCycle and client files in a shared folder?
Workstations, folder sync, backups and the portal side of your tax software.
Common problems we fix
- Return files sync through a Google Drive, Dropbox or OneDrive folder, and that account needs protection.
- A computer can’t reach the shared return folder.
- A new workstation needs the software and folder set up.
- You need a plan for old return files and backups.
- One computer is behind on updates, or still on last year’s version.
TaxCycle files may live in a cloud folder, so the security of that account matters. Check how yours is set up. Before tax season, we make sure every computer is on the current version.
CCH iFirm portal sign in or access trouble?
Staff and client access, browsers, permissions and the IT around the portal.
Common problems we fix
- A client can’t sign in or lost their second step.
- A staff member needs access to a different client group.
- Printing or PDF handling breaks between the portal and desktop.
- Former staff still appear in the system.
Wolters Kluwer publishes steps for turning on MFA for the portal. Check current guidance.
Karbon access and email connections?
Staff accounts, email connections, permissions and removing access when people leave.

- A new staff member needs an account and email connected.
- Former staff still have access.

Karbon says it supports MFA. Turn it on for staff and clients, and check the vendor’s current settings.
ProFile out of date, slow or not starting?
Updates, workstations, return file folders, backups and remote access, ready before tax season.
Common problems we fix
- ProFile hasn’t been updated, so it’s missing the latest tax forms and changes from Intuit.
- On a network setup, updates are done on the server. If one computer doesn’t pick them up, that seat is left behind.
- The automatic update fails because antivirus blocks it, or the person updating isn’t signed in as an administrator.
- A computer can’t open return files kept on a server or shared folder.
- ProFile is slow at busy times, and the cause is the network or the computer.
- A new or replaced workstation needs the software installed and set up.
- Backups of return files exist, but nobody has tested a restore.
As your IT provider, we keep ProFile updated and ready to go before tax season. Intuit makes the tax updates. When a new release comes out, we install it, check that every computer opens it, and work with Intuit support if something inside the program needs them.
Taxprep out of date or not connecting?
Yearly installs, updates, network access to data, printing and PDFs, backups and remote access.
Common problems we fix
- Taxprep hasn’t been updated, so it’s missing the latest tax forms and changes from Wolters Kluwer.
- Each tax year has a new version to install, and some computers are still on last year’s.

How much does IT support cost for an accounting firm?

Isn’t switching IT providers a headache?
We handle the handover with your current provider, so you are not stuck in the middle. Depending on the size of the firm, the move takes from 5 business days to 6 months, and we plan it around your busy weeks.
Who at Benson Hunt can see our client files?
Our staff have background checks and sign confidentiality agreements, because your files hold your clients’ SINs, banking details and tax records. Ask us anything about how we handle your data during your free consult, and we’ll answer plainly.
What do cyber insurers ask for?
Insurer questionnaires often ask about MFA, backups, protection on each computer, patching and staff training. We help you answer accurately, without overstating what is in place, and close any gaps before renewal. Your broker and insurer decide coverage and terms, and we can’t promise approval.
Which privacy laws apply to our firm?
Usually provincial law. A private firm in Alberta or BC generally falls under its provincial PIPA, and PIPEDA can apply when personal information crosses provincial or national borders. Alberta PIPA and PIPEDA require you to report breaches that pose a real risk of significant harm. BC PIPA does not, but its commissioner recommends it. Confirm with your lawyer.
How do you reduce fake payment requests and email fraud?
Make it a firm rule to confirm any payment or banking change by phone, using a number you already have, never one from the email. On our side, MFA and the email filtering in Microsoft 365 Business Premium make a hijacked mailbox less likely. The Canadian Anti-Fraud Centre lists current scams.
Where do you provide IT support for accounting firms?

Who answers the 24/7 emergency line?
A person, not a voicemail. Regular hours are Monday to Friday, 7am to 5pm MT. Outside those hours, call the same number, (604) 813-7881, and a person answers emergency calls 24/7, weekends and holidays included.
Do we need multi factor authentication?
Yes. Turn it on for email, cloud software and remote access at a minimum. The CRA has its own MFA rules for CRA accounts, including Represent a Client, and we can set MFA up across your team so nobody is locked out in the middle of the season.
Does the US FTC Safeguards Rule apply to a Canadian firm?
It is a US rule for financial institutions, and the FTC counts tax preparers among them. If you prepare US returns or serve US clients, ask a US adviser whether it applies to you. We don’t give legal advice, but we can put the technical safeguards in place.
Do you charge a travel fee?
Managed clients never pay a travel fee, and there is none in Calgary. The only travel fee is $150, for the one free break/fix assessment in the Vancouver and Edmonton city areas. As of October 2026.
