What is dental IT support?

Dental IT support keeps a clinic’s computers, servers, network, backups, security, practice software and imaging equipment working. We also help your clinic’s IT line up with Alberta HIA, Alberta PIPA, BC PIPA, CDA cybersecurity guidance and your cyber insurance. Privacy impact assessments are completed by the clinic, with lawyer Ritchie Po assisting. This isn’t legal advice.

How a dental clinic's IT fits together: operatories, front desk and imaging connect through a managed network with a business firewall and managed switches. Staff Wi-Fi, guest Wi-Fi and devices are kept on separate networks. The server is backed up on site and offsite in Canada.YOUR CLINICOp 1PC and sensorOp 2PC and sensorOp 3PC and sensorOp 4PC and sensorFront deskCharts, phonesImagingPan or CBCTManaged networkBusiness firewall(not a home router)Managed switchesWatched 24/7ServerHyper-VRAID 10 drivesWi-FiKept separate (VLANs)Staff Wi-FiGuest Wi-FiDevicesLocal backupRestore inunder 2 hrsOffsite copyIn Canada, lockedfor 30 days

Short stories from real work

Two clinic expansions. We helped Passion Dental Group expand two of their clinics, one from 8 to 15 operatories and one from 5 to 11.

From the drawings. We plan each expansion from the drawings, with the contractor and designer. See expansions we’ve completed

Specialist offices. We support periodontists in Edmonton, including Dr. Leon Yu, and orthodontists in Vancouver. IT for dental specialists

Signature Dental. We grew with Signature Dental from a 2 chair office into a busy endodontics and Bioclear focused practice with 5 chairs and 2 microscopes for root canal treatment.

A separate seven-clinic group

We helped another client, a dentist who owned seven successful clinics, run them like one small dental company. Every clinic got the same setup and secure remote access with zero trust. Several of the clinics were grossing over $4.5M a year, and that standard setup helped raise the value of the business when he chose to sell.

Left, what you see: a home style router sends out two Wi-Fi names, Clinic and Guest, but a guest phone, the front desk PC, an x-ray sensor and the server all share one network, so a guest can reach patient files. Right, what we set up: a business firewall and managed switches keep Guest, Staff and Devices in separate walled zones, and the guest is blocked from patient files.WHAT YOU SEEHome style routerOne network insideClinicGuestOne shared networkGuest phoneFront desk PCX-ray sensorServerPatient filesA guest can reach your patient filesWHAT WE SET UPBusiness firewallGuards the doorManaged switchesKeep zones apartGuestGuest phoneInternet onlyStaffFront deskServerPatient filesDevicesX-ray sensorBlocked. Dental IT questions we hear

What does dental IT support include?

It covers your computers, servers, network, backups and security, with 24/7 monitoring and email and SMS alerts to our team. We also support the IT side of your practice management software and digital imaging, and we call vendors for you. New clinic cabling and other projects are quoted separately. An assessment spells out what is included for your clinic.

Do you come on site?

Yes, that is where we start. Our local team in Vancouver, Edmonton and Calgary comes to your clinic, and many smaller issues are fixed quickly by remote access. Every clinic also gets its own group chat with dedicated technicians, so your whole team can reach us in one place. We support WhatsApp, Slack, Google Chat and Microsoft Teams. It’s for IT help, so keep patient details out of the chat.

Which dental software do you support?

We support Dentrix, ClearDent, Tracker, Curve Dental, Open Dental, AkituOne, ABELDent and Ortho2 Edge, plus imaging from VATECH, Dentsply Sirona, Carestream, NewTom and KaVo. We also support Dolphin. If your system isn’t on the list, ask us. We’ll tell you honestly whether it’s a fit.

Who answers the 24/7 emergency line?

A person. Our regular hours are Monday to Friday, 7am to 5pm MT, and for emergencies the same number, (604) 813-7881, is answered by a person 24/7.

How much does dental IT support cost?

Managed support is a fixed rate of $55 to $125 per PC per month. It includes help desk, monitoring, on-site visits, 3-2-1 backups, firewall and switch maintenance, DHCP and Hyper-V management, and security awareness training. Projects such as cabling are quoted separately. We don’t do break/fix work except in special circumstances, but we offer one free break/fix assessment. That assessment has a $150 travel fee in the Vancouver and Edmonton city areas, and there’s no travel fee in Calgary. Managed clients don’t pay a travel fee. Read the details on our support plans page.
